Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury arising from our negligence, or our fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.
8. Privacy and cookies
We are committed to protecting your privacy. The personal information we collect and how we use it is set out in our Privacy Policy. Information about the cookies we use is set out in our Cookies Policy. By using this website you acknowledge that we may collect and use personal information about you as set out in those policies.
9. Changes to these Terms
We reserve the right to amend these Terms & Conditions from time to time. The most current version will always be posted on this website. Your continued use of the website following the posting of changes constitutes your acceptance of those changes.
10. Governing law and jurisdiction
These Terms & Conditions, their subject matter and their formation, are governed by the laws of England and Wales. You and we both agree that the courts of England and Wales will have exclusive jurisdiction in respect of any disputes arising out of or in connection with these Terms & Conditions.
Part 2 – Event and Course Booking Terms
This Part 2 sets out the terms on which Sustainable Aviation Futures Ltd accepts bookings for our events and training courses. By submitting a booking, you (the "Delegate") agree to be bound by these terms.
11. Booking confirmation
If you have secured a place to attend an event or training course delivered by us, you will receive confirmation of your registration by email. If you do not receive anything within 48 hours, please contact us at jamie.bentley@safcongress.com to ensure we have received your registration. Please note that an automated email reply is not confirmation that you have secured a place. Your place is only confirmed once you have received a personalised email from the Sustainable Aviation Futures team along with your invoice.
Discounts are at the organiser’s discretion and proof of status may be required. All discounts must be applied when registering – discounts cannot be applied retrospectively after the booking has been processed.
12. Payment terms
Payment is due within 28 days of the invoice date or prior to the event or course, whichever is the earlier date. We do not accept cheques.
Delegates who have not paid prior to the event will be required to supply a credit card as a guarantee. If payment has not been received within 2 weeks after the event, the card will be charged.
All fees are quoted exclusive of VAT, which will be added at the prevailing rate where applicable.
13. Cancellation policy
If you cancel at least 10 full working days before the event or course date, you will only be charged a 15% cancellation fee. All cancellations must be made in writing; phone cancellation will not be accepted as a formal cancellation.
Regrettably, no cancellations can be accepted after this date and full payment is due. Cancellations resulting from a Force Majeure Event (as defined below) will also be chargeable on the above terms.
14. Substitutions and amendments
Substitutions are welcome at any time – there is no additional fee for direct substitutions. All other amendments to your booking may incur a 5% administration charge.
If you wish to change the number of days you are attending the conference, you must inform us prior to the event. Changes cannot be made on the day, as the event costs are based on the number of delegates registered each day.
15. Changes to the event or course programme
We reserve the right to make unavoidable changes to the programme, timings or speaker identity. We also reserve the right to cancel an event at any time and, where we do so, will offer delegates an alternative date or a credit towards another event.
16. Force majeure
If for any reason arising from or attributable to acts, events, omissions or accidents beyond our reasonable control (a "Force Majeure Event") – including but not limited to strikes; regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; collapse of building structures; epidemics or pandemics; extreme weather conditions; and acts of God – it is necessary to make amendments to the original planning of an event, or it becomes impossible to run an event, Sustainable Aviation Futures Ltd is relieved of all obligations and does not take any responsibility for compensation, reimbursement of any additional expenses, inconvenience or loss of business that may be experienced by attendees.
Further, we reserve the right to retain delegate fees as a contribution to all venue and administrative costs incurred.
17. Filming, photography and audio recording
Filming, photography and audio recording may take place throughout our events. These activities may be conducted by Sustainable Aviation Futures Ltd, our exhibitors, sponsors and their employees or contractors for event-related purposes, including publication and promotion.
By attending one of our events, you acknowledge that these activities may be conducted and that your image, voice or likeness may be captured and used. If you do not wish to be filmed, photographed, or recorded, please notify Sustainable Aviation Futures Ltd staff at the registration desk on arrival, or at any time during the event.
Further information on how we process image and audio data is set out in our Privacy Policy.
18. Behaviour at events
We expect all delegates, speakers, exhibitors and visitors to behave professionally and respectfully towards each other and towards our staff, contractors and venue personnel. We reserve the right to refuse entry to, or remove from the event, any person whose behaviour we consider, in our reasonable opinion, to be disruptive, offensive or otherwise inappropriate, without refund.
19. Data protection
The personal information you provide when booking will be held and processed by Sustainable Aviation Futures Ltd in accordance with our Privacy Policy. If you have any questions about how we use your data, or you would like to be removed from our database, please contact us using the details below.
